General enquiries

Which product is most suitable for me?

There are three main criteria to consider - your business, your requirements with regard to product functionality and the delivery platform, i.e. locally installed, intranet or web.

How do I receive my product or service?

If your product is to be installed on your computer you will receive installation and activation instructions by email. If your product is a web based service you will be emailed access instructions.

How do I install my product?

Hazcheck Workstation and Hazcheck Professional use an installation wizard that asks you a few simple questions before self-installing. At start-up these products will ask you to enter an activation code.

Hazcheck web products do not require any installation but you will be advised if other software such as Flash Player or Adobe Reader is needed. Links will be provided for you.

Hazcheck Enterprise and Hazcheck Gateway require specific site installation instructions and will be sent to your IT department.

How do I activate my product?

Hazcheck Workstation and Hazcheck Professional have to be activated by an activation code before they will run on your computer. Activation codes are obtained online using the 'New Activation' page accessed from the 'Activate system' link on the product pages or the home page. You will be required to enter:-
i) your Purchase Code, issued to you when you purchased the product
ii) the serial number displayed in the program activation window at start-up (please note: if you obtain a 0000000 serial number, please try again by right-clicking on mouse and selecting ‘run as administrator’).
iii) optional comments for your own identification purposes
Enter your activation code into the program you have downloaded. Once activated you will not be asked to enter this activation code again.

What happens when a new IMDG Code amendment is released?

If your current licence has not expired when the new amendment is released you will automatically be entitled to use the new version of Hazcheck with the new amendment. You will be emailed instructions and how best to install the new version.

What are the 49 CFR regulations?

The International Maritime Dangerous Goods (IMDG) Code contains rules for the international transport of dangerous goods* by sea. These rules must be incorporated into national regulations via the rulemaking process of each signatory to SOLAS, the Safety of Life At Sea Convention. This includes the United States of America.

The US Code of Federal Regulations Title 49 (49 CFR) regulates, amongst other activities, the transport of dangerous goods (or hazardous materials*) within the United States (and, by agreement, certain traffic into and out of Canada) and the pre-conditions for import and export traffic by sea.

The two regulatory regimes meet at the US limits of US territorial waters boundary and complying with both is a challenge for shippers and ship operators. There is 49 CFR facilitation for shipments consigned under the IMDG Code (see 171.22, 171.23, 171.25), but often with additional 49 CFR compliance requirements. The substance classification criteria between the two sets of regulations are also not perfectly aligned.

*The IMDG Code uses the definition 'dangerous goods' to describe substances and articles in international sea transport that may cause harm to people, property or the environment. In 49 CFR and in general US terminology the same goods are referred to as hazardous materials, or 'hazmat'.

How do you validate VAT numbers on your website?

We use a web service provided by the European Commission that automatically validates VAT numbers entered into our website against registered VAT numbers in Europe - see http://ec.europa.eu/taxation_customs/vies. Please ensure that your VAT number is correct and formatted properly (no spaces).

What is your refund policy?

A full refund of the purchase price will be made when:
1. The request for the refund is received within 14 days of the date of purchase.
2. Download and activation products - the product has not been activated.
3. E-learning courses - the course has not been started.
4. When buying a purchase code with multiple activations for download products, a refund will only be made for the complete purchase code, not individual activations.
5. When buying multiple courses, a refund will only be made for the whole batch of courses, not individual courses.

Hazcheck Online

How do I change my password?

The temporary password that you are initially assigned is made up of random numbers. You should change it as quickly as possible to one that you can remember easily. Select Manage my account from the Main Menu and then use Change my password

Can I share my Username and Password with a colleague?

Your Username and Password enable access to Hazcheck Online and deduction of units from your account for validation checks. It is your responsibility to keep your password confidential, as units cannot be refunded if wrongly used. If your account is shared, you continue to be responsible for account management.

How do I update my personal registration details?

If your Hazcheck registration details (for example address, email etc) have changed since your initial registration, you must update it as soon as possible. Select Manage my account from the Main Menu and then use Amend personal details to check and update the details.

What are validation units?

Validation units are required in order to use the Process the Load function of Hazcheck Online. You normally start with either 100 or 500 units depending on your chosen subscription level to the full system. A validation unit is used up each time a load is validated in Process the Load. Validation units are not deducted when using the Substance Enquiry or during any steps before or after each validation

How do I check the number of validation units I have remaining or the expiry date of my subscription?

Select Manage my account from the Main Menu. The remaining validation units and subscription expiry dates will be shown on this page

Can I see a statement of my validation usage?

Yes. Select Manage my account from the Main Menu and then View usage summary. This will display your month by month validation usage over the last year.

Is a validation unit used when the load is flagged as 'Load does not comply'?

Yes. Hazcheck Online has performed the validation check. You should modify the load (i.e. remove a conflicting item, or mark an item as being in limited quantities etc.) before submitting it again - see the validation result to identify the problem.

My validation units are running low, can I top them up?

Select 'Manage my account' from the Main Menu and then 'Top-up validations'. You can either pay online by credit card for immediate top-up, or request an invoice. If requesting an invoice allow plenty of time for the payment to be made, since the validations are applied only after payment is received.

My subscription expiry date is approaching, how do I renew my subscription?

Select Manage my account from the Main Menu and then Renew my subscription. You can either pay online by credit card for immediate subscription renewal, or request an invoice. If requesting an invoice allow plenty of time for the payment to be made, since the subscription is renewed only after payment is received.

I have validation units remaining, will I lose them after renewing my subscription?

No. The remaining validation units will be carried forward to the new subscription.

Do I have to wait until my subscription expiry date before I can renew my subscription?

No. You can renew a subscription at any time during a subscription period. In fact, we recommend that you renew well in advance of the expiry date, especially if requesting an invoice, to make sure there is no interruption to the service. If you pay in advance your subscription will be renewed for 12 months from the subscription expiry date, otherwise from the date of payment. Any remaining validation units will be carried forward to the new subscription.

Will I get a warning when my subscription is about to expire?

You should regularly monitor the remaining validation units and a subscription expiry by selecting Manage my account from the Main Menu. But we will also email you a reminder if the validation units become low or if the subscription expiry date is getting close.

I can't access the ADR tab on the enquiry screen

If you are using IE10 you will need to click the compatibility button at the top of the browser screen to access this information. We are currently looking at a solution for this. Alternatively, you can use Google Chrome.

How do I receive Hazcheck Workstation?

The software is downloaded from the Hazcheck Workstation product page. If you would prefer to receive the system on CD please email your request to admin@existec.com. Please include your postal address

How do I activate Hazcheck Workstation?

Hazcheck Workstation has to be activated by an activation code before it will run on your computer. Its activation code is obtained online using the 'New Activation' page accessed from the 'Activate system' link on the Hazcheck Workstation product page. You will be required to enter:-

This serial number is required in order to obtain an when installation is on a machine with Windows 7 or 8, depending on your local settings you may need to run the application when entering the activation code. You can do that by right clicking and selecting 'run as administrator'.

Please Note: If you obtain a 0000000 serial number, please try again by right-clicking on mouse and selecting ‘run as administrator’.

How do I transfer Hazcheck Workstation to a new computer if I have a PURCHASE CODE?

Summary: You will need to deactivate Hazcheck Workstation on the old computer first. You will need to obtain its deactivation code; this is needed in order to credit your Purchase Code with another activation for the new computer.
i) Start the Hazcheck Workstation program on the old computer and select the 'Deactivate' option from the 'Help' menu. When you click the confirm button a four-digit deactivation code will be displayed. Make a note of the deactivated serial number and its corresponding deactivation code.
ii) Go to the Hazcheck Workstation product page and click 'Activate system'. Go to the 'Activation History' page and enter your purchase code. There will be a list of serial numbers at the bottom of the page. Click the 'deactivate' link related to the serial number you have deactivated, and enter the 4 digit deactivation code. This will credit your Purchase Code with a new activation.
iii) Go to the Hazcheck Workstation product page, download the program onto the new computer and note the new serial number. Go to the 'New Activation' page from the product page and enter the purchase code. Enter the new serial number and click the Activate button. Paste the activation code into the new program.

How do I transfer Hazcheck Workstation to a new computer if I DO NOT have a PURCHASE CODE?

Summary: You will need to deactivate Hazcheck Workstation on the old computer first. You will need to obtain its deactivation code so you can be given a replacement activation code for the new computer.
i) Start the Hazcheck Workstation program on the old computer and select the 'Deactivate' option from the 'Help' menu. When you click the confirm button a four-digit deactivation code will be displayed. Make a note of the deactivated serial number and its corresponding deactivation code.

What happens if my computer has crashed and the system is lost?

Contact support@existec.com quoting your Purchase Code and if possible, the serial number and activation code of the lost system.

What happens when my licence is nearing the expiry date?

During the last month of your licence term, Hazcheck Workstation will display a message at start up advising that it will expire in a number of days.

You can contact admin@existec.com to renew your licence. Once the licence is renewed you can use your new Purchase Code to obtain a new activation code, extending the licence for the new term.

What happens when a new IMDG Code amendment is released?

If your current licence has not expired when the new amendment is released you will automatically be entitled to use the new version of Hazcheck Workstation with the new amendment. You will be emailed download instructions and how best to install the new version.

If you install the new version onto a computer with an activated copy of the old version, the new version will run automatically. Both the old and new version can run concurrently on the same computer until your current activation expires. At this point you will need to renew your licence in order to reactivate Hazcheck Workstation.

If you install the new version onto a computer without an activated copy of the old version, then you will need a new activation for the new computer. This can be achieved either by deactivating an existing copy or by purchasing an additional user.

Is there a network version with concurrent access restricted to a specified number of users?

Yes. Hazcheck Workstation can be set up on a network with concurrent access restricted to a specific number of users. For more information please contact sales@existec.com outlining your requirements and the number of concurrent users you need.

What do I do when I’m issued with a 0000000 serial number?

The activation process needs to be attempted again by right-clicking on the mouse and selecting ‘run as administrator’

What do I do if I am prompted to enter an activation code each time I run the program?

When installation is on a machine with Windows 7 or 8, depending on your local settings you may need to run the application when entering the activation code. You can do that by right clicking and selecting 'run as administrator'.

Hazcheck DGL Lite Mobile App

How do I search the dangerous goods list?

From the main menu, click on DGL Lookup. A new screen with a text field will be shown where you can type in either a UN number or proper shipping name. After typing the third character, the system will offer matching entries. This list will diminish as more letters are typed until an exact match is made. If there are no matching records the screen shows 'No matching records found'

How do I view the dangerous goods (DG) summary?

From the list of possible matching entries click on the record you want to display. Once selected you can see the UN number, proper shipping name, class, sub risk(s), packing group, and the applicable label(s).

Currently the system does not show the marine pollutant mark. This will be added at later release.

IMDG Code e-learning

Which course do I need to take?

There are several levels of training - multimodal general awareness, function specific, advanced and refresher. You should take the course that is most closely related to the role that you carry out in your organisation. See the 'training recommendations guide' on the IMDG Code e-learning page for further information.

How is the student verified?

As with all computer-based training, record-keeping for the IMDG Code e-learning course should include confirmation that the student named on the course completion certificate was the person that took the course. This can simply be done by the supervisor or manager signing a file copy of the completion certificate confirming that the named student took the course, or by archiving an electronic equivalent. It is a requirement of the local competent authorities of Ireland and Australia that students from those countries choose the verified certificate at the end of the course rather than the standard certificate.

What is the administrator function?

The administrator function is ideal for companies with larger numbers of students to be trained. It provides full administrator management of courses taken at any location for regional or global training programmes. It allows management of active courses, including course configuration for job functions, setting pass marks and timeframes for completion and progress monitoring. Company-specific training elements can also be incorporated.

How often should I retrain?

There are no specific recurrent training requirements within the IMDG Code regarding the frequency of training but the Code in 1.3.1.1 states that training ‘shall be periodically supplemented with refresher training to take account of changes in regulations and practice’.

Some countries have defined training periods in their national legislation e.g. under US regulations (49 CFR) anyone involved in transporting dangerous goods by sea must be trained every three years; many others have not yet addressed the issue.

Many companies and organisations require update and/or refresher training with every Amendment; this ensures staff are made aware of the changes and the potential impact on transport operations.

It is up to you as an individual or company to determine the required frequency for training and the level at which this training must be provided.

Exis Technologies offer a refresher course which provides an awareness of the IMDG Code’s provisions and outlines the main changes in the latest Amendment update in every new Amendment.

What is covered in the 49 CFR module?

The 49 CFR module is an extra configuration which can be taken in addition to any of the other course configurations. This module provides information on the additional requirements of 49 CFR when shipping to and from the United States under the IMDG Code provisions. The elements in this module focus on:
- Providing an introduction and overview of the 49 CFR regulation
- General conditions for the use of the IMDG Code when shipping to or from the United States
- Requirements for specific materials and packages when shipping to or from the United States
